Booth Size

The booths are 10' wide by 10' deep.  The exhibit space at the Hyatt Regency Chicago has 195 booths as shown on the exhibit hall floorplan.

Rules and Regulations

Exhibitor contract with rules & regulations.  As a courtesy to all our exhibitors, NACAS also uses and enforces the standard IAEE Guidelines

*Failure to abide by these regulations will result in a loss of rank in the 2009 Exhibitor Pre-Sell order.

 

Important Items to Note

This year we have provided two open evenings to business partners to entertain clients during the conference.  We appreciate your consideration of the conference schedule and seek your assistance in only providing outside activities after official conference sessions have ended each day (Sunday at 7 p.m. and Monday at 5 p.m.). Thank you in advance!

Exhibitor Registration Details

If you have not yet registered for an Exhibit Hall Booth, please complete the Exhibit Hall Contract and Registration Form.  View the Exhibit Hall floorplan to see which booths are still available.

 

Exhibitor Registration Fee

  • Until June 23, 2008, a $1,000 deposit per booth is required with the Exhibitor Registration Application.  The full amount is due within 30 days of our receipt of the executed contract.
  • After June 23, applications received must be accompanied by payment in full.
  • NACAS member rate per 10' x 10' booth is $1,900.
  • Non-member rate per booth is $2,500.

 

Included in the Booth Price

  • Name badges and meal tickets (breakfast and lunch in the Exhibit Hall only) for up to five company representatives per booth.   Exhibitor forms for booth personnel, ticket purchases, and food/beverage needs will be available in August 2008.
  • Access to all general sessions and educational programs
  • Tickets must be purchased separately for the following paid events: Gala at the Field Museum, Opening Awards Reception, President's Luncheon, Campus Tours, Poker Tournament, Pre-Conference Workshops
  • One electronic list of conference attendees will be emailed out to the exhibitor contact on the early bird attendee registration deadline.
  • One electronic list of conference attendees will be emailed out to the exhibitor contact the week following the conference.
  • 8' high back drape
  • 3' high side drape
  • 7" x 44" exhibitor I.D. sign

 

Cancellations

If the exhibitor desires to cancel part or all of the contracted space, the exhibitor must do so in writing by certified mail.

 

No refunds will be made after August 21, 2008.  A $250 per booth fee will be charged if the booth is cancelled prior to August 21.

 

Food & Beverage Guidelines

The Hyatt Regency Chicago has specific guidelines that must be met for any food or beverage product to be served at your booth or within any area of the hotel.  Please read through these Food & Beverage Guidelines.

Advertising Opportunities

Advertising is available in our College Services magazine and our online newsletter NACAS Quarterly.  Your targeted ad and message will be viewed by over 2,400 auxiliary service professionals.  Don't miss the opportunity to advertise in the October issue of College Services, which previews our  Annual Conference and salutes our business partners.  The insertion order deadline is August 15, 2008.  Limited space still available.  View the advertising rate card, editorial outline, and contract.

 

2009 Booth Assignments: Pre-Sell Process

Pre-Sell for 2009 will be done onsite at the 2008 conference in the Hyatt Regency Chicago pre-function area.  Detailed information will be emailed to all exhibitor contacts on October 17, 2008. 

 

Pre-Sell appointment times are scheduled based on past priority points earned.  Each participating Business Partner earns one point for each booth space and one point for each $1,000 or equivalent in sponsorships, Education Foundation donations, and advertising.  After two consecutive years of non-participation, priority points are lost (effective 2/9/90).

 

If you cannot make your scheduled Pre-Sell appointment time, you may fill out the Proxy Exhibitor Registration Application and send it to NACAS prior to the conference.  At the time of your scheduled appointment, we will assign your booth based on availability.

 

After all 2008 pre-sell appointments have passed, remaining booths will be sold on a first come first serve basis.
